Job Overview

We are seeking a detail-oriented and organized Office Administrator with prior experience in office administration, contracts, or recruitment. The ideal candidate will have a solid background in handling administrative tasks and be familiar with contract management and the recruitment process. You will play a key role in ensuring the smooth and efficient functioning of our office.

Responsibilities

  • People

  • Onboarding - Assist in drafting, reviewing, and filing employment contracts, offer letters, and onboarding documents.

  • Organising appraisals / follow up / notes

  • Birthdays

  • Monitoring probation periods

  • IT support when required

  • Organising events when required

  • Office General

  • Health and safety (clearing trip hazards, etc)

  • Liaising with cleaners

  • Maintaining office stock and supplies

  • Order and maintain office supplies and equipment, ensuring the office is well-stocked - Stationery, Water, Office refreshments.

  • Mailbox Monitoring

  • Business Support

  • Enquiries

  • Contracts

  • Recruitment

  • Administration

  • Manage incoming calls and emails, ensuring prompt responses and directing inquiries to the appropriate team members.

  • Manage candidate databases, ensuring all CVs and candidate profiles are up to date and accurately filed.

  • CV formatting

  • Contract management - contract preparation, review, and tracking, ensuring that all documents are properly organized and filed.

  • Contractors company insurance

  • Onboarding on new contractors & clients.

  • HireRight background checks when required.

  • Maintain organized filing systems for candidate records, client contracts, and other office documentation.

  • Finance

  • Management of timesheet system

  • Assist Finance Director with monthly pay run.

  • And any other additions tasks, if requested.

Qualifications and Skills:

  • Proven experience as an Office Administrator or in a similar role.

  • Experience with contracts or recruitment processes is highly desirable.

  • Excellent organizational and time-management skills.

  • Strong attention to detail and accuracy.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, etc.).

  • Excellent written and verbal communication skills.

  • Ability to work independently and handle multiple tasks efficiently.
